One of the standout strategies I share is treating each check as its own individual claim. By creating separate files for each payment, I ensure that every transaction is tracked and managed efficiently, preventing any confusion or loss of checks.

Using a CRM System

Implementing a CRM (Customer Relationship Management) system is crucial. I discuss how my team uses our CRM to track each claim and check, maintaining detailed records of every step in the payment process. This system helps in notifying clients, sending invoices, and following up on payments.

Step-by-Step Payment Tracking

The video outlines a step-by-step approach to tracking payments:

  1. Payment Notice by Carrier: Once notified by the carrier, create a new record for the payment.
  2. Payment Received: Update the status when the payment is received, either by the office or the client.
  3. Sending Invoices: Use QuickBooks or similar software to send invoices with payment links, providing multiple payment options for clients.
  4. Ensuring Payment Before Check Release: Never release a check without first receiving the payment from the client to maintain leverage and ensure proper compensation.
